A few simple checks help us read and review your application documents. Follow BIAI’s Document Scan Guidelines before sending your files.

Start with a clear scan

Use a scanner where possible. If you use a mobile phone, place the document flat on a plain white surface and photograph it directly from above.

Before you take the picture

Shoot straight downKeep the camera directly above the flat document.
Don’t obstruct itKeep fingers and other objects out of the way.
Catch it allKeep every edge and corner in the image.
Keep it unalteredDon’t retouch, enhance or change the document.
  • Turn off the flash. Check for glare from overhead lighting.
  • Keep the background plain. Avoid coloured or patterned surfaces; white is preferred.
  • Shoot straight down. Keep the camera directly above the flat document.
  • Keep the whole document visible. Don’t crop corners or cut off any part.
  • Keep fingers and objects out of the way. Nothing should cover the document.
  • Check the lighting. Avoid shadows and reflections that hide information.
  • Keep the document unaltered. Do not retouch, enhance or change it using photo-editing software.

Guidelines for Completing Forms & Questionnaires

  • Answer every question. Do not leave any questions or fields blank.
  • If a question does not apply to you, write “N/A” (Not Applicable), No or None rather than leaving it blank.
  • Provide complete and truthful information. Do not omit information because you think it may be unimportant.
  • Where a question asks for details following a “Yes” answer, provide all requested details.
  • If you make a mistake, cross it out neatly with a single line, enter the correct information, and initial the change.
  • Sign and date everywhere required, ensuring your signature is consistent with your usual signature.
  • If you are unsure how to answer a question, contact us for guidance before completing that section. Do not guess.

Getting your supporting documents ready

  • Check the right checklist. Requirements depend on the service and the person or business applying. Use the checklist for your request; BIAI will confirm any exceptions.
  • Use valid, complete documents. Show both sides of identity cards where applicable and the photograph/details page of a passport. Include every page of the address document requested, dated within the required period—usually three months.
  • Bring originals when requested. BIAI will explain the certification or overseas notarisation needed for your case. A witness signature on a form is different from certification of an identity or address document.
  • Using a parent’s or spouse’s address? Ask BIAI about the confirmation letter, their address evidence and identification, and the required signatures. Do not sign in advance if the signatures must be witnessed.
  • Declare tax and payment information accurately. Complete the tax-residency and source-of-funds information requested for your service. If you are unsure which form applies, ask BIAI before completing it.
